1. Agreement to terms
These Terms of Service ("Terms") govern access to and use of BookingFlow, an online booking and business-management platform operated by OperonFlow Pty Ltd ("OperonFlow", "we", "us", or "our").
By creating an account, subscribing, embedding a booking widget, or otherwise using the Service, you agree to these Terms. If you use the Service on behalf of a business, you represent that you have authority to bind that business.
If you do not agree, do not use the Service.
2. Definitions
"Service" means the BookingFlow website, admin console, APIs, booking widgets, mobile-friendly experiences, and related support.
"Business User" means a coach, studio, salon, club, or other organisation that creates a BookingFlow account to accept bookings.
"End Customer" means a person who books through a Business User's public booking page or embed.
"Customer Data" means information submitted by or about End Customers, including names, contact details, booking history, and payment metadata processed through the Service.
3. Accounts and eligibility
You must provide accurate registration information and keep credentials secure. You are responsible for activity under your account.
You must be at least 18 years old, or the age of legal majority in your jurisdiction, to create a Business User account.
We may suspend or terminate accounts that violate these Terms, applicable law, or that pose security or abuse risks.
4. The Service
BookingFlow provides tools for availability management, online booking, payments integration, customer communications, analytics, and related features. Feature availability may depend on your subscription plan.
We may modify, improve, or discontinue features with reasonable notice where practicable. We do not guarantee uninterrupted or error-free operation.
Business Users are independent controllers (or co-controllers, where applicable) of End Customer personal data they collect through their booking pages. OperonFlow processes such data as described in our Privacy Policy and any applicable data-processing terms.
5. Free trials, subscriptions, and payments
Free trials, if offered, convert to paid subscriptions unless cancelled before the trial ends. Pricing, billing intervals, and plan limits are shown at checkout or in your admin dashboard.
Payments for BookingFlow subscriptions are processed by third-party payment providers. Business Users may also connect payment providers to collect End Customer booking fees; those transactions are primarily between the Business User and the End Customer.
Fees are non-refundable except where required by mandatory consumer law in your jurisdiction or expressly stated otherwise.
6. Acceptable use
You agree not to misuse the Service. Without limitation, you must:
- Comply with all applicable laws, including consumer protection, anti-spam, accessibility, and sector-specific regulations.
- Obtain valid consent and provide required notices before collecting End Customer personal data.
- Not upload unlawful, deceptive, discriminatory, or infringing content.
- Not attempt to bypass security, scrape the Service without permission, or interfere with other users.
- Not use the Service for high-risk activities without appropriate safeguards and legal advice.
7. Intellectual property
OperonFlow owns the Service, branding, software, and documentation, except for content you or your End Customers submit.
We grant Business Users a limited, non-exclusive, revocable licence to use the Service during an active subscription for internal business purposes and public booking pages we host or that you embed according to our documentation.
You retain ownership of your business content and Customer Data. You grant us a licence to host, process, and display that content solely to provide and improve the Service.
8. Confidentiality and security
We implement administrative, technical, and organisational measures designed to protect the Service and Customer Data. No method of transmission or storage is completely secure.
You must configure the Service responsibly, including access controls, staff permissions, and secure handling of API keys and webhooks.
9. Third-party services
The Service integrates with third parties such as payment processors, email/SMS providers, calendar systems, and analytics tools. Your use of those services is subject to their terms and privacy policies.
OperonFlow is not responsible for third-party services outside our reasonable control.
10. Disclaimers
The Service is provided "as is" and "as available" to the maximum extent permitted by law. We disclaim warranties of merchantability, fitness for a particular purpose, and non-infringement where allowed.
BookingFlow is not legal, tax, medical, or professional advice. Business Users remain responsible for their services, schedules, cancellations, refunds, and regulatory compliance.
11. Limitation of liability
To the maximum extent permitted by applicable law, OperonFlow will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenue, data, or goodwill.
Our aggregate liability arising from the Service will not exceed the greater of (a) amounts you paid us in the twelve months before the claim or (b) one hundred Australian dollars (AUD 100), except where liability cannot be limited under mandatory law.
12. Indemnity
Business Users will indemnify OperonFlow against claims arising from their content, offerings, misuse of the Service, or breach of these Terms, except to the extent caused by our gross negligence or wilful misconduct.
13. Suspension and termination
Either party may terminate according to subscription terms. We may suspend access immediately for material breach, legal requirement, or security risk.
Upon termination, your right to use the Service ends. We may retain data as required by law and our Privacy Policy.
14. Changes to these Terms
We may update these Terms from time to time. We will post the revised version with an updated date and, where changes are material, provide additional notice through the Service or email.
Continued use after the effective date constitutes acceptance, except where prohibited by law.

Regional addendum
Regional terms — New South Wales, Australia
This section supplements the Terms above for users and Business Users located in or primarily serving End Customers in New South Wales, Australia.
Where mandatory local law in New South Wales, Australia requires otherwise, those mandatory provisions prevail over conflicting terms in this agreement.
Australian Consumer Law
The following additional terms apply:
- Nothing in these Terms excludes, restricts, or modifies guarantees under the Australian Consumer Law (ACL) that cannot lawfully be excluded.
- Business Users must not make misleading representations about pricing, availability, or cancellation terms.
- Privacy Act 1988 (Cth) and Australian Privacy Principles apply to personal information handled in Australia.
